How do I place an outside call?
To place an outside call you must dial 9 + the number you wish to call. If you are trying
to call an outside number and you receive a fast busy signal the phone you are calling
from may have a limited class of service. Try the call from another phone. If your phone
has a limited class of service and you would like that changed you must submit an
ISWR(Information Services Work Request). If you are calling from a phone that has the
proper class of service and the call still won't go through please contact the help desk.
How do I call the operator?
To reach the AT&T operator dial 900.
NOTE: Due to the way our phone system is set up you cannot have the operator assist you in
placing calls. You can place credit card calls by dialing 90 + the number you wish to
call.
How do I forward calls to voice mail or another phone on
campus?
The voicemail system isn't picking up my calls when I'm away from my desk, how do I fix
this?
There are three types of call forwarding: Busy forwards calls to the specified
number if the user is on the phone, No Answer forwards calls to the specified number
if the user does not answer their phone after three rings, and Forward All
Calls will forward ALL calls to the specified number. There are times when call
forwarding is lost on phones due to a variety of reasons such as: someone accidentally
pressing the #66 key combination, user received a new phone and forwarding
wasn't set, equipment changes/repairs on our telephone system. If this occurs simply
cancel forwarding (a precautionary step) on your phone and reforward it.
To forward calls on a busy forwarding:
- pick up receiver and get dial tone
- press *55
- you will hear a fast busy signal
- enter the extension you wish your phone to be forwarded to (3100 for voice mail)
- the fast busy signal will change to a confirmation tone (if it remains a fast busy then
the phone is already set to forward somewhere and you may want to cancel forwarding and
reset it)
- hangup.
To cancel busy forwarding:
- pick up receiver and get dial tone
- press #55
- you will hear a confirmation tone
- hang up.
To forward calls on a no answer forwarding:
- pick up receiver and get dial tone
- press *66
- you will hear a fast busy signal
- enter the extension you wish your phone to be forwarded to (3100 for voice mail)
- the fast busy signal will change to a confirmation tone (if it remains a fast busy then
the phone is already set to forward somewhere and you may want to cancel forwarding and
reset it)
- hangup.
To cancel no answer forwarding:
- pick up receiver and get dial tone
- press #66
- you will hear a confirmation tone
- hang up.
To forward ALL calls:
- pick up receiver and get dial tone
- press *44
- you will hear a fast busy signal
- enter the extension you wish your phone to be forwarded to (3100 for voice mail)
- the fast busy signal will change to a confirmation tone
- hangup.
To cancel forward ALL calls:
- pick up receiver and get dial tone
- press #44
- you will hear a confirmation tone
- hang up.
I have a single line phone. How do I transfer calls to another
phone?
- press FLASH, dial extension number(single line phones have a FLASH button)
- wait for party to answer, announce call
- hang up, transfer is completed
- NOTE: if busy or no answer, press FLASH again to reconnect with calling party.
How do I transfer callers to a voice mailbox?
- press the transfer key
- dial 3100
- when prompted, enter in the mailbox number you wish to transfer caller to
- hang up before mailbox greeting begins.
How do I set up speed dial on my phone?
If you have a phone that does not have speed dial buttons but is programmed for speed
dial:
Most single lines phones must be programmed to allow speed dial programming.
To store numbers:
- lift handset
- press #77
- enter code to be used (chosen by the individual)
- enter number to be programmed
- hang up.
To access:
- lift handset
- enter *77
- enter code
- number is automatically dialed.
If your phone has speed dial buttons:
- press speed dial button you wish to program
- enter in number you would like programmed there and don't forget to include the 9 if it
is an outside number (if you have a display phone the number will be displayed)
- press the speed dial button again (if you have a display phone "SPD SET" will
be displayed).
I have a single line phone. Is there a last number redial
feature?
- lift handset
- dial ##0
- number is automatically redialed.
How do I place a three party conference call?
Three Party Conference (single line telephone):
- place or receive first call
- press FLASH (places first party on hold)
- dial second party
- press FLASH again and conference call is established.
Three Party Conference (multi-line telephone):
- dial or receive first party
- press TRF (places first party on hold)
- dial second party
- press CNF and conference call is established.
When I dial a number I hear a fast busy signal. What does this
mean and what do I do?
This could mean one of a couple things. You could be dialing from a phone with a
restricted class of service (COS) or the area code or number is not programmed into our
switch. You can try calling the number using the area secretary's phone and if the call
does go through then you have a restricted COS on your phone. If the call does not go
through then you will want to call the help desk (x3012) and report the following:
- full name
- office location
- office extension number
- area code and number you are trying to dial.

On the Dterm Series E phones how do I adjust the LCD contrast, receiver
volume, and the ringer volume?
On the Dterm Series E multi-line phones there is a button in the lower right hand corner of the
phone with arrows on it.
- To adjust the LCD contrast press the arrows up or down while idle.
- To adjust speaker/receiver volume press arrows up or down during conversation.
- To adjust ringer volume press arrows up or down during ringing.
On the Dterm Series E single-line phones there are labeled slider switches on the right side
of the telephone to accomplish these adjustments.
How do I access my voice mailbox from my office?
- lift handset
- dial 3100
- when prompted, enter your passcode
- follow prompts to play messages, make messages, etc.
How do I access my voice mailbox from another phone on campus?
- lift handset
- dial 3100
- the system will go to the voice mailbox associated with the phone you are calling from
so you must bypass this by pressing the * key and entering in your mailbox number,
which is the same as your extension number
- your greeting will then begin and you must bypass this to access your mailbox by
pressing the * key again and entering your passcode
- follow prompts to play messages, make messages, etc.
- press 9 to e"X"it the system
How do I access my voice mailbox from off campus?
- if you are calling locally dial 568-3100
- if you are calling long distance dial (800)486-8156
- when prompted, enter your mailbox number and press * key
- when prompted, enter your passcode
- follow prompts to play messages, make messages, etc.
- 9 to e"X"it the system
Can I fast forward or rewind through a message?
When playing a message:
- press # to move forward 5 seconds in the message
- press * to move backwards 5 seconds in the message
Can I pause a message?
When playing a message:
- press 1 to pause the message 30 seconds
- press any other key to resume
Can I skip over a message and go on to the next message?
When playing a message:
- press 8 to move to the "T"op of the next message
(without changing current message status)
How do I answer a voice mail message?
When you receive voice mail from within our system you can answer that message. At anytime
while you are playing the message you can press 2 to "A"nswer
it.
How do I give a message to another voice mailbox?
- at anytime while you are playing a message you can press 4 key and "G"ive
the message to another user
- when prompted, enter the mailbox number to which you would like to give the message
- follow the system prompts to record additional comments (this is a mandatory step)
- press 9 to send the message and e"X"it to the previous
menu
How do I reactivate the voice mail tutorial?
- dial 3100
- enter your passcode
- press 8 for "U"ser options
- press 8 key again to activate the "T"utorial
How do I change my voice mail greeting?
- dial 3100
- enter your passcode
- press 8 for "U"ser options
- press 4 to change your "G"reeting
- follow the prompts to record a new greeting
- press 9 to save and e"X"it to the previous menu
How do I change my voice mail passcode?
- dial 3100
- press 8 for "U"ser options
- press 7 to change your "P"asscode
- when prompted, enter a new passcode (for security reasons it is very important to set a
passcode on your voice mailbox)
- press 9 to save and e"X"it to the previous menu
Can I send a message to more than one mailbox at a time?
There are two ways to accomplish this. You can send a message to a group of mailboxes or
you can create a distribution list that can be modified and saved for future use.
To send message to a group of mailboxes:
- dial 3100
- enter your passcode
- press 6 to "M"ake a message
- enter mailbox number to make message for
- the system will prompt you to enter another mailbox, enter in all the mailboxes you wish
to send this message to
- follow the prompts to record the message
- press 9 to send and e"X"it to the previous menu
To create and use a distribution list:
- dial 3100
- enter your passcode
- press 8 for "U"ser options
- press 5 to create a "L"ist
- when prompted, enter a list number (list numbers can be 01-99)
- when prompted, record a name for the list
- follow the prompts to enter in all the mailboxes you would like to have in this list
- press 9 to save and e"X"it to the previous menu
To send a message to your distribution list:
- dial 3100
- enter your passcode
- press 6 to "M"ake a message
- when prompted to enter a mailbox number enter in your list number
- follow the prompts to record the message
- press 9 to save and e"X"it to the previous menu
NOTE: You, as the list owner, are responsible for maintianing your own distribution
lists.
I received a fax in my voice mail. How do I send it to a fax machine?
- when playing the message, press 8 for fax transmittal
- at this point you have one of two options:
- if you have a default fax number programmed press 3 to deliver fax to your default fax number
- if you do not have a default fax number programmed press 4 to input a
telephone number to deliver fax to and follow attendant prompts
- press 9 to exit the system
How do I set a default fax telephone number in voice mail?
To program a default fax number:
- dial 3100
- enter your passcode
- press 8 for user options
- press 3 for fax options
- press 6 to change your personal fax telephone number
- press 2 to change the current fax telephone number
- enter fax number (if within the district you only need to enter the 4-digit fax number)
- press 9 to save and exit to the previous menu
