Telephone and Voice Mail - New User Setup Guide:

New Instructor Assigned a Telephone and Voice Mailbox

To set up your voice mailbox:

The department secretary should have contacted the help desk to reset the voice mail passcode and activate the tutorial. Contact the area secretary to see if this has been done and what the passcode is.

  • from YOUR telephone dial 3100
  • when prompted to enter a passcode (even if you still hear the previous owner's voice), enter the passcode
  • the tutorial will then begin and walk you through setting up your voice mailbox (changing the passcode, recording a greeting, and recording your name) NOTE: Be sure to set aside a few minutes to set up your voice mailbox. If you hang up during the tutorial there is a possibility you will not be able to get back into your voice mailbox and will have to contact the help desk to have the passcode reset.
  • when you've completed the tutorial press 9 to exit the system, hang up

To access your voice mailbox from YOUR PHONE ON CAMPUS:

  • dial 3100
  • you should hear your recorded name followed by the attendant prompting you to enter your passcode, enter your passcode
  • follow prompts to play messages, make messages, etc.
  • press 9 to exit the system, hang up

To access your voice mailbox from ANOTHER PHONE ON CAMPUS:

  • dial 3100
  • the system will go to the voice mailbox associated with the phone you are calling from so you must bypass this by pressing the * key and entering in your mailbox number, which is the same as your extension number
  • your greeting will then begin and you must bypass this to access your mailbox by pressing the * key again and entering your passcode
  • follow prompts to play messages, make messages, etc.
  • press 9 to exit the system, hang up

To access your voice mailbox from OFF CAMPUS:

  • if you are calling locally dial 568-3100
  • if you are calling long distance dial (800)486-8156
  • when prompted, enter your mailbox number and press the * key
  • when prompted, enter your passcode
  • follow prompts to play messages, make messages, etc.
  • press 9 to exit the system, hang up

Below are some commonly used voice mail functions. In using these functions follow the attendant prompts to complete the function.

To play messages:

  • access your voice mailbox
  • press 7 to play messages
    • press 1 to pause for 30 seconds (press the * to resume)
    • press * to move back 5 seconds
    • press # to move forward 5 seconds
    • press 8 to move to the top of your next message
    • press 5 to keep the message
    • press 3 to discard the message
    • press 2 to answer the message (if it came from someone with a voice mailbox on our system)
    • press 4 to give the message to another mailbox
  • press 9 to exit the system, hang up

To make a message and send it to one or more destinations within our voice mail system:

  • access your voice mailbox
  • press 6 to make a message (follow the attendant prompts to make a message for one or more voice mailboxes)
    • once you've made a message press 2 to mark it confidential
    • once you've made a message press 8 to mark it urgent
    • once you've made a message press 3 to set future delivery
    • once you've made a message press 7 to request a receipt
  • press 9 to exit the system, hang up

To access user options:

  • access your voice mailbox
  • press 8 for user options
    • press 7 to change your mailbox passcode
    • press 4 to change your greeting
    • press 6 to record a name on your box
    • press 8 to activate the tutorial (same tutorial you followed when you first set up your voice mailbox)
  • press 9 to exit the system, hang up

Once you've set up your voice mailbox you will need to ensure that your telephone is forwarding to the voice mail system. This is a function you are in control of and MUST be done from your phone.

To forward your phone to the voice mail system:

  • take phone off hook, press #44 (precautionary step which cancels "all" forwarding), hang up
  • take phone off hook, press #55 (precautionary step which cancels "busy" forwarding), hang up
  • take phone off hook, press #66 (precautionary step which cancels "no answer" forwarding, hang up
  • take phone off hook, press *55 (sets "busy" forwarding), you will hear a fast busy signal, enter in 3100 (the voice mail number), the fast busy will change to a long steady tone (confirmation tone), hang up
  • take phone off hook, press *66 (sets "no answer" forwarding), you will hear a fast busy signal, enter in 3100 (the voice mail number), the fast busy will change to a long steady tone (confirmation tone), hang up

New Adjunct Instructor Assigned a 5-digit Voice Mailbox Number

The area secretary should have given you a 5-digit voice mailbox number and the default passcode. If you were not given this information please contact your area secretary.

To set up your voice mailbox:

The procedures for accessing your voice mailbox are slightly different depending on whether you are calling from on campus or off campus.

From ON campus:

  • dial 3100
  • your call will be directed to the voice mailbox associated with the phone you are using and you will need to bypass this by pressing the * key
  • when prompted, enter your 5-digit mailbox number and press the * key
  • when prompted, enter your passcode
  • at this point the tutorial will begin and will walk you through changing the passcode, recording a greeting, and recording a name on your voice mailbox
  • press 9 to exit the system, hang up

From OFF campus:

  • dial 568-3100 if calling local and 1(800)486-8156 if calling long distance
  • when prompted, enter your 5-digit mailbox number and press the * key
  • when prompted, enter your passcode
  • at this point the tutorial will begin and will walk you through changing the passcode, recording a greeting, and recording a name on your voice mailbox
  • press 9 to exit the system, hang up

To leave you a message your students will dial 568-3100 or 1(800)486-8156 and when they are prompted to enter a mailbox number they enter in your 5-digit mailbox number and record a message after your greeting.
